Payroll Administrator

  • Purpose: The Payroll Administrator provides consistent, timely, and accurate processing of all payroll functions.

Duties and Responsibilities Fiscal Administration

  • Reviews and processes payroll on a semi-monthly basis for hourly and salaried employees in compliance with state, federal, and local laws.
  • Ensures delivery of all payroll-related benefits- commuter checks, health plan deductions, retirement contributions, etc.
  • Process all payroll advances and final paychecks.
  • Administers all fiscal policies and procedures in conjunction with the accountant to ensure compliance with Toolworks’ policies and procedures and applicable state and federal laws.
  • Prepares reports for the finance team.

Administrative

  • Provides internal financial reporting as required.
  • Audits fiscal functions regularly and leads the annual audit process.
  • Maintains and updates ADP database information.
  • Ensures all fiscal recordkeeping is current and agency is compliant with all applicable local, state and federal laws.

Skills, Knowledge, and Abilities Competencies

  • Fluency in Microsoft Office, Quickbooks, and ADP.
  • Strong attention to detail.
  • Excellent customer service skills.
  • Ability to establish priorities and meet deadlines.
  • Strong communication skills.

Education and Experience

  • B.A. in Accounting, Business, Mathematics or related field preferred.
  • Minimum of five years’ experience working in Payroll, preferably in an office setting.
  • Direct experience working for a nonprofit is highly desired.

Assistant Janitorial Account Manager

  • Purpose: Toolworks is looking for an Assistant Janitorial Account Manager needed to provide on-site janitorial account management and supervision for selected sites in San Francisco. Candidates should have excellent customer service skills, expertise in janitorial science, and the ability to effectively supervise a diverse staff, and provide quality control janitorial services.

Duties and Responsibilities

Management

  • Ensure the delivery all contracted services, work with building management resolving issues as they arise and plan for above standard work and projects. Maintain consistent communication with building property management including issuing weekly reports and proactively addressing sanitation issues and needs of the facility.
  • Manage sites janitorial activities including quality control, schedules, staff performance and training, communication and operations logistics at assigned projects.
  • Performs and document quality control inspections of project area, customer satisfaction surveys, and maintains records of all client trainings

Supervision & Training

  • Provide supervision and janitorial skills training for client-employees.
  • In coordination with Toolworks Employment Services, ensures that trainees receive
  • Provide support in the development of new accounts and special projects.
  • Perform janitorial work such as mopping, sweeping, vacuuming, buffing, bathroom cleaning, and dusting.
  • Able to provide floor care services including resilient floor care (stripping, sealing and waxing) grout care and carpet care. 

Administrative Duties

  • Issues reports, inspection and deficiency documentation to facilities management and client stakeholders.
  • Orders and inventories all supplies, equipment, and staff uniforms.
  • Maintain records of all client trainings.
  • Complete all required paperwork in a timely manner: including timesheet entries, janitor evaluations, customer satisfaction surveys, and employee relations documents as needed.

 Education and Experience Requirement

  • Minimum of (1) work in account management or as a supervisor at a heavy traffic facility with a high degree of public interface.
  • Experience in federal or state facilities strongly preferred.
  • Thorough understanding of janitorial science including methods, materials, machinery, chemicals, janitorial equipment, safe use, and disposal of hazardous materials specific to cleaning compounds, solutions and chemicals. Ability to provide janitorial skills training.
  • Proven experience in customer service and client management.
  • Experience working with adults with disabilities preferred.

Program requirements 

  • First Aid/CPR Certification required (within 30 days).
  • Blood Borne Pathogen Certification Required (within 30 days).
  • Background check (Child Abuse Index, Criminal Record Clearance).

 

Compensation

$25/hour – $27/hour, depending on experience and qualifications.

Multi Site Roving Lead Sorter

Duties and Responsibilities

 Sorter Support Function

  • Flexibility in work locations throughout the day/week is required on an on-call basis. Sometimes the day of.
  • Train and support Sorters on multiple job sites ensuring the individuals are as independent as possible performing his/her job duties
  • Provide training and support with issues that may impact job readiness and performance
  • Maintain positive business relationships with management/owners of businesses where Sorters are placed to ensure ongoing satisfaction of Toolworks’ Recyclability services
  • Perform quality control inspections of work sites as needed
  • Recognize unusual or threatening conditions related to Sorting crews and resolve issues if necessary

 Administrative Functions

  • Monitor Sorter progress and complete all other required paperwork
  • Complete Reports as needed
  • Must be willing to work evenings and weekends

 Organizational (all staff)

  • Participate in staff meetings, trainings and retreats as required
  • Comply with current agency performance standards
  • Report changes in criminal or employment status on a timely basis
  • Represent the organization to visitors and the community as needed
  • Maintain a professional attitude, working cooperatively with other staff, Sorters and members of the community
  • Maintain confidentiality of Sorter/staff information as required by law and agency policy

 Education and Experience Requirement:

  • High School Diploma.
  • Some experience in waste management preferred.

 Skills requirement

  • Able to safely and efficiently navigate between multiple work sites throughout the day/week.
  • American Sign Language, Spanish or Cantonese skills preferred. Some level of fluency for certain target populations may be required.
  • Fluent report writing skills
  • Willingness to work flexible hours to meet customer needs.
  • Able to recognize unusual or threatening conditions
  • Supervisory experience preferred
  • Strong time management skills, patient, detail oriented
